How Do You Set a Budget for a Party?

Start with a total you are comfortable spending, divide it by the expected guest count to get a per-guest figure, then split it across the big categories: venue, food and drinks (often the largest share), rentals, entertainment and decor. Keep 10% for surprises such as tax, service charges, tips and delivery fees. The budget calculator does the math for you.

Prices vary a lot by city, season and day of the week, so the most useful number is your own: total budget ÷ guests = what you can spend per guest.

Step by Step

  1. Pick a total you are comfortable with.
  2. Estimate the guest count (invited × the share you expect to come).
  3. Split the total across categories. Food and drinks usually take the biggest share for a meal; venue for a rented hall.
  4. Keep about 10% unassigned for tax, service charges, tips and delivery fees.
  5. Get two or three quotes per category and adjust.
